We can help you maintain CJIS Security Policy Compliance when transitioning your records from paper to digital documents with our record scanning services. We provide CJIS compliant record scanning services in Little Rock, Fayetteville, Bentonville, Hot Springs, Jonesboro, Fort Smith, Pine Bluff, Arkadelphia, Rogers, Conway, and throughout the state of Arkansas. How CJIS Security Policy Requirements Affect Records Management
The FBI’s Criminal Justice Information Services (CJIS) Security Policy requirements are continuing to move towards a higher level of security for both paper records and electronic documents. The main premise of the CJIS Security Policy is to provide appropriate controls to protect the full lifecycle of paper records and electronic documents from creation to destruction.
One specific rule that went into effect in 2012 requires government agencies to keep a list of contractors and vendors who have successfully completed a background investigation. Anyone who has access to records in any format must be subject to a state and national fingerprint-based record check. This includes all vendor and/or contractor employees: delivery drivers, record storage companies, scanning contractors, outsourced administrative personnel, etc. Also, criminal justice records and electronic documents must be secure at all times with limited access to authorized personnel only.
All of our records management team at Southwest Solutions Group® comply with the CJIS security policy requirements. Our team is qualified in all areas of managing your paper records and digital information including consulting, records retention schedules, and record scanning services. We also provide a CJIS “secure file transfer” of digital documents once you migrate from paper records.
