Computerized Key Control Management
An organization was having issues storing over 600 of their highly sensitive keys safely and securely, an impossible task with only manual resources. Instead of risking liability, left, and loss, the embassy integrated a computerized key control management tracking system in the form of an automated cabinet locker.
Automated Cabinets, Lockers, Boxes
With over 600 keys, keeping track of every transaction with manual resources is impossible, time-consuming, and a waste of human resources. But just like every organization, these keys are highly sensitive and require constant management and monitoring by supervisors to make sure that only authorized users have access to them, and every transaction still needs to be documented somehow.
The solution ended up being a surprisingly simple one: a computerized key control management system with one automated box locker with six drawers, with the ability to add more drawers in the future should their key storage needs change.
Each key is stored in a separate compartment within a drawer, while access to each compartment is only possible after biometric identification set to specific preset personal authorizations. All keys must be returned to the system after a preset time, or the system sends an alert to both the manager and user. Each transaction is also captured and documented by a wireless video camera for extra security.
For decades, the organization's key storage management was manual, leaving them vulnerable to risks and human error. The presence of a manager needed every single time someone needed a key was unrealistic, especially after hours and in the event of an emergency. This resulted in every employee having full access to the key cabinet, resulting in lacking documentation and missing keys, which required frequent attention and re-issuance. Since the automated cabinet was installed, all of these problems were solved almost immediately. Access is automated and fully controlled, documented via video with automatic reports provided by the system for every transaction that occurs. The automatic locker can also store more than just keys; it can store virtually any asset such as firearms, employee personal items, and other media in compartments of various adjustable sizes.
